What we collect. If you contact us, book a call, or fill in the onboarding questionnaire at hearby.ai/intake, we collect the details you share — your name, email, company, and what you tell us about your business. Never put passwords or API keys in a form; credentials are exchanged separately and securely. This site itself does not run third-party advertising trackers.

How we use it. To respond to you, scope and deliver your system, and keep in touch about the engagement. We do not sell your data, ever.

Client systems. Systems we build for clients may process their customers’ conversations (for example, phone calls answered by an AI agent). That data belongs to the client, is processed on their behalf, and is governed by the agreement for that engagement. We do not record call audio (transcripts only), we do not sell data, and client data is never used to train AI models or shared across clients.

Who processes data on our behalf. Depending on the system: Anthropic and/or OpenAI (AI processing), Twilio (telephony), Cartesia/Sesame (voice synthesis), Fly.io (hosting, Sydney by default), Vercel and Neon (this site and our CRM), Clerk (login), Stripe (payments), Dropbox Sign (contracts), 1Password (credential exchange), and healthchecks.io (operational uptime pings only). A plain-English data-handling summary for any engagement is available on request.

Retention & access. We keep enquiry data only as long as it is useful for working together. Want your data corrected or deleted? Email hello@hearby.co and it is done.
